Collection Policy

The purpose of this policy is to ensure that children are collected from nursery by their parents or appointed person and that parents understand the procedures if their child is not collected by 6pm.

  1. Details of who can collect each child are given on the Collection, Contacts and Medical Details Form. A Collection Form is not needed when any of those people collect a child, but we may ask for a photo to help with recognition for adults that don’t collect regularly.
  1. Each child is booked into nursery for a set time each day and must be collected by their booked collection time. Parents must notify the nursery if:
  • They want extra time.
  • They will be late collecting.
  • A person who is not listed on the Collection, Contacts and Medical Details form will collect their child.
  1. A small allowance is made for hand over discussion. However, parents should book in a meeting with staff if they need to discuss anything for more than a couple of minutes, or should arrive earlier to ensure their child is ready to leave by the booked time. This is because staffing ratios are calculated on the basis of drop off and pick up times and staff focus must be on the children who remain booked in. Collection of children after the booked attendance time shall incur a charge in accordance with the Extras Price list, unless agreed in advance with the Nursery Manager. See Terms and Conditions.

USING A COLLECTION FORM

  1. If a person not listed on the Collection, Contacts and Medical Details form is collecting a child, they must have a password and parents must fill in a Collection Form (Appendix 1).
  1. If these arrangements are made by telephone, as a safeguarding check, staff must phone the parents back (using a number obtained from Connect) before filling in the form. A description of the person must be given and a form must be filled in, given to the staff caring for the child and signed by the parent at the next available opportunity.
  1. When a Collection Form is filled in, it must be given to staff caring for the child.
  1. Anyone who will be regularly collecting a child should be added to the Collections, Contacts and Medical Details form and Connect.
  1. Whoever is collecting a child must sign the iConnect register and input the time the child is collected.

WHAT TO DO IF CHILDREN ARE NOT COLLECTED BY 6PM

  1. If a child has not been collected by 6pm, staff must telephone the parents. Parents are asked to update their contacts every six months.
  1. If staff cannot contact either parent, they must telephone the emergency contacts given on the Collection, Contacts and Medical Details form and ask them to collect the child.
  1. If staff cannot get hold of any authorised contact, they must inform the Managing Director.
  1. If a parent telephones nursery to say they will be late, for an unavoidable reason, two members of staff must stay with the child.
  1. Parents will be charged £5 per minute for every minute after 6pm. This will be payable one month in arrears. Please see the Terms and Conditions.
  1. Staff will be paid overtime for any hours they have to stay with a late-collected child.
  1. By 7pm, should staff be unable to contact any parents, authorised carers or emergency contacts, they must telephone the Police. The Managing Director must also be informed.
